Step by Step Guidelines to follow as you complete the Roadside Inventory Submission Sheet

Instructions for each column on the submission sheet.

Some columns have dropdown lists per cell. The Dropdown list are there to guide you in your input. Drop down lists provide choices from which you can select the appropriate entry for your unit. Please keep in mind, certain dropdown lists have restrictions. Certain columns can only have an input that is one of the choices from the dropdown list. If your entry is different for the choices than the restrictions will prevent you from making an entry that is different.

Exceptions: Column that will accept your input.

Frame Media Name

This column has a drop-down list consisting of all the Frame Media Names in our system. You can select one of these choices. If you have a new media name or a new type of media name, then you can enter your custom name. We will then review your entry.

***On the Submission sheet you will find several examples. Please follow the examples for reference. These are there to show you how to enter your inventory attributes on the spreadsheet. Please note these are ONLY EXAMPLES and not real inventory.

 

Columns Explained

Status Type Name

-For Geopath Use Only

 

Plant Frame ID

-Plant Frame ID requires you to provide a unique identifier for each unit. The ID can consist of letters, numbers or both. Please do not surpass the 15-character limit. If you do not one then, you can create your own plant ID using letters and numbers.

 

Plant Spot ID

  • Plant Spot ID requires you to provide a unique spot identifier for each unit. This is relevant for digital or tri-vision units.

For example, if your tri-vision Plant Frame ID is BY-001 and it has 3 ads in rotation. Then the Plant Spot IDs could be BY-001-A, BY-001-B, and BY-001-C.

 

Publisher Unique ID (optional)

-Publisher unique ID refers to another ID that you may use in addition, to the plant frame ID. If you have one, then please provide otherwise leave blank.

 

Construction Name

-Construction name can also be referred to structure ID. The actual structure on the ground at the location may have an ID on it for identification purposes. Construction name is asks you to provide it. If the structure has no ID, then leave blank.

 

Construction Type Name

-In this column you enter the type of structure your unit is. The dropdown list in this column will have 3 options to choose from: exterior wall, freestanding and furniture.

 

Frame Construction Date

-In this column enter the date the unit or frame was constructed or installed. If you are providing a unit that is not built yet, then the date should reflect when it will be built.

 

Media Type Name

Frame Representation Type

-Frame representation type column requires you to let us know how you represent the frame of this unit. If you are unsure of what a Frame is then please refer to the examples tab on the submission sheet. This column has four options in the dropdown list: own, manage, transact and schedule. Definitions are available in the definitions tab on the submission sheet. Since some units have multiple representations, it is important for us to understand how you represent each part of the unit.

 

Frame Media Name

-In this column you will enter the media name you use to refer to your unit. This column already has a dropdown list with all the media names that are generally used by members. For your entry, please select a media name from the dropdown list. If you do not see the media name you want to enter then you can type it in. When you enter a name not on the dropdown list, a warning message will appear. Select YES if your custom media name is correct and you want to continue. For your custom name entry, we will review and update the system or get back to you with questions.

 

Illumination

-If the illumination for your unit is either 12 hours, 18 hours or 24 hours only, then use this column. Entry should be 12, 18 or 24 only.

 

Illumination Start Time

-If the illumination for your unit is not the general 12, 18 or 24 hrs, then this column and the Illumination End Time should be used. It is possible that the unit you entered has an illumination of 20 hours. In this column enter the start time of the 20 hours. For example, the start time can be 4 am. Proper entry of 4 am into the sheet column would be 4:00:00.

 

Illumination End Time

-If the illumination for your unit is not the general 12, 18 or 24 hrs, then this column and the Illumination Start Time should be used. It is possible that the unit you entered has an illumination of 20 hours. In this column enter the end time of the 20 hours. For example, the end time can be 12 am. Proper entry of 12 am into the sheet column would be 23:59:59.

Illumination Type

-What type of illumination does this unit have? When a unit exceeds 12-hour illumination, artificial lighting is used. In this column, we are asking you to enter the way this unit is illuminated. For example, a unit that is illuminated for 12 hours is not receiving artificial light. Therefore, the type of illumination would be “Sunlit Ambient”. If you are entering a digital unit, then the illumination type should be “Backlit”. Digital units have light positioned behind the screen.

On the submission spreadsheet, you will find a tab with the definitions for the illumination types.

 

Frame Size

(correct format: 14'0"x48'0")

-In the Frame Size column enter the size of the unit in feet and inches. Please make sure to sure the colons to indicate feet and inches. Generally, large media formats have size in feet and inches. Examples would be bulletins, posters, walls, etc.

 

Frame Height Inches

-An input in this column is not required if you made an entry in the previous column. If your unit has height in inches only then you must enter that into this column. For example, transit shelters or kiosks tend to have the height in inches. You do not have to convert to feet. Just enter the inches into this column. Generally, small media formats may have size in inches.

 

Frame Width Inches

-An input in this column is not required if you made an entry in the previous column. If your unit has width in inches only then you must enter that into this column. For example, transit shelters or kiosks tend to have the width in inches. You do not have to convert to feet. Just enter the inches into this column. Generally, small media formats may have size in inches.

 

Frame Rotating

-The dropdown list for this column has True or False. Is it true your frame rotates or is it false? Frame rotating means the frame itself rotates to change between Ads. For example, tri-visions have frame rotation as it switches the Ads in rotation.

 

Frame Digital

-The dropdown list for this column has True or False. Is your Frame digital? All digital units should have True in this column. All static units should have False.

 

Pixel Width

-This column is only relevant for digital units. If the pixel width is the same as the frame width, then you can enter the same width.

 

Pixel Height

-This column is only relevant for digital units. If the pixel height is the same as the frame height, then you can enter the same height.

Frame Latitude

Latitude/Longitude also referred to as Lat/Long.

-Accurate latitude and longitude are very important. Lat/long determines that location of the unit so most precise coordinates is required. Latitude with the correct format and proper decimal places can be found in google maps. In google maps, right clicking on a location, will give you the lat/long of that location.

 

Frame Longitude

Latitude/Longitude also referred to as Lat/Long.

-Accurate latitude and longitude are very important. Lat/long determines that location of the unit so most precise coordinates is required. Longitude with the correct format and proper decimal places can be found in google maps. Longitude must always have a negative sign in the front of the number. PLEASE make sure the negative sign is included.

 

Frame Description

-For frame description, you can include any relevant information that will help better understand the frame and its location. Ex-address, frame features, location description and distances, etc. Often you may already have a description of the frame’s location that you use on a photo sheet. You can use that here if the description illustrates the frame’s location.

 

Frame_Classification

-For frame classification select a choice from the dropdown list that best represent your unit. The choices represent the different types of classification that your inventory can be described as. How do you determine the classification? Please refer to the dropdown list definitions tab on the spreadsheet. The four classification types are explained.

 

Primary_Artery

-Primary artery refers to the street the unit is primarily on and oriented on. In this column you can also include the nearest cross street to the primary artery.

 

Primary_Read(optional)

-Primary read entry is optional. If you have the read, then enter. Primary read whether it is Right(R), Left(L), Parallel(P), or Center (C) must reflect the read from the street. As a vehicle is driving past the unit

 

Orientation Facing

-Orientation facing or previous known as facing refers to the cardinal direction that the frame is facing. The dropdown list has all the cardinal directions listed.

Scenario: If you are unsure if the facing of the unit is North or North west, then try using google maps satellite view to get a visual.

Orientation in Degrees

-If you have the orientation of your inventory in degrees then you can provide that. This information is more accurate and precise as opposed to cardinal direction. The Degrees entered should be between 0° and less than or equal to 359°.

 

Spots_In_Rotation

  • Spots in rotation is the same as Ads in rotation. If you have a digital unit, then you need to enter the number of spots (Ads) per loop.

 

Spot_Length

-How long does each spot (Ad) run? Entry should be in seconds.

 

Average_Spot_Length

-What is the average length of ad spot in seconds (in each loop). For example, if you have 8 spots in rotation and each spot is 8 seconds then the average spot length is 8.

 

Spot Representation Type

-Spot representation type column requires you to let us know how you represent the spot of this unit. If you are unsure of what Spot is then please refer to the examples tab on the submission sheet. This column has four options in the dropdown list: own, manage, transact and schedule. Definitions are available in the definitions tab on the submission sheet. Since some units have multiple representations, it is important for us to understand how you represent each part of the unit.

 

Parent Account Name

-Enter your Operator Name.

 

Account Name

-Account name refers to the division name under which the inventory or unit is located. The operator may have multiple divisions with units in each. In this column enter the name of the division in which the inventory belongs. The division name can be the City, Town or State where the inventory is located. If you do not have divisions or your inventory is not separated by divisions then you can enter the parent account name into this column as well.

 

Account ID

-For Geopath Use Only

 

Elevation

-Elevation refers to the height of the center point of the frame from the ground. The height should be entered in inches. If you do not know the height, then leave blank.

 

Frame Full motion

-Is the frame full motion? Is the frame video enabled? Are the Ads always in motion? If the answer is yes to these questions, then the column entry should be TRUE.

Frame Partial Motion

-Frame partial motion means the frame is partly animated. It is not in full motion. Enter True into this column if that is correct. Please note a frame cannot be full and partial motion. Therefore, if you put TRUE for full motion, then partial motion should be FALSE.

 

Frame Audio

-Is there audio when the Ads are played? If yes, then enter TRUE. Otherwise, enter FALSE.

 

Layout Representation Type

-Layout representation type column requires you to let us know how you represent the Layout of this unit. If you are unsure of what a layout is then please refer to the examples tab on the submission sheet. This column has four options in the dropdown list: own, manage, transact and schedule. Definitions are available in the definitions tab on the submission sheet. Since some units have multiple representations, it is important for us to understand how you represent each part of the unit.

 

Frame Interactive

-Are there interactive features on the Frame? Can consumers interactive with the frame? An example of these would be a digital kiosk. Digital kiosks can allow people to enter something or switch between options. If you unit is interactive, select TRUE. Otherwise, select FALSE.

 

Face Height Inches

-Face refers to the face of the frame (Ad spot) where the Ad plays or is displayed. If the face and the frame is the same or the Ad plays full screen, then the face height is the same as the frame height. Enter the height you previously entered for the frame.

 

Face Width Inches

-Face refers to the face of the frame (Ad spot) where the Ad plays or is displayed. If the face and the frame is the same or the Ad plays full screen, then the face width is the same as the frame width. Enter the width you previously entered for the frame.

 

Face Representation Type

-Face representation type column requires you to let us know how you represent the Face of this unit. If you are unsure of what a face is then please refer to the examples tab on the submission sheet. This column has four options in the dropdown list: own, manage, transact and schedule. Definitions are available in the definitions tab on the submission sheet. Since some units have multiple representations, it is important for us to understand how you represent each part of the unit.

 

Layout Share of Voice

-The layout share of voice should be a percentage. The percentage of time that Ads are playing vs. other content. This is important to know especially if you have content other then Ads displayed as well.

 

Spot Share of Voice (optional)

-Spot share of voice refers to the percentage of time that a single ad plays in the loop. For example, if your frame has 6 Ads in rotation then, a single Ad is 1/6 of the Ads running. So, the spot share of voice is 0.166 or 16.66 %. Take (1/total number of saleable spots) and enter the percent in this column.

 

First Party Data Available

-The first party data column is asking if you have any data from research, you conducted or other methods. An example of such data are traffic counts on the roads where inventory is located. If you have traffic count data on the road where your unit is located, then you can provide that information. We will use it as a supplement. The input in this column should only be TRUE or FALSE. If you have that data, then please submit separately.
